How to Build a Business Dashboard That People Actually Use
By Mohammed Zahid KhanPublished February 12, 2026
It's tempting to build a dashboard by asking "what data do we have?" and putting all of it on a screen. The dashboards that actually get used every week are built the opposite way.
Start with the decision, not the data
Before building anything, ask: what decision does this dashboard need to support, and who's making it? A dashboard for a founder tracking overall business health looks very different from one an operations lead uses to manage daily scheduling.
Steps to build one properly
- 1List the two or three decisions the dashboard needs to inform
- 2Identify which systems currently hold the data needed for those decisions
- 3Build the pipeline connecting those systems into one consistent data model
- 4Design the view around the decision, not around every available metric
- 5Automate the refresh so it's never showing stale numbers by the time someone looks at it
Common mistakes
- Too many metrics on one screen, so nothing stands out
- Manually updated data that goes stale within a week
- Numbers that look impressive but don't map to an actual decision anyone makes
